Retreat Terms & Conditions
By reserving a space through placing a deposit or registering for a retreat with Neon Compass LLC ("Neon Compass"), you ("Participant") agree to these Retreat Terms and Conditions ("Terms"). By signing or agreeing to these Terms, you acknowledge that you have read, understood, and agree to be bound by them.
1. Booking and Confirmation

International & Long-Form Retreats: $1,000 per person.
Regional & Weekend Retreats: $250 per person.
Payment Deadlines:
International Retreats: Full payment is due 90 days prior to the Retreat start date. If booking 90 days or less prior to departure, full payment is required immediately at booking.
Regional & Weekend Retreats: Full payment is due 45 days prior to the Retreat start date. If booking 45 days or less prior to the retreat start date, full payment is required immediately at booking.
Confirmation: Upon receipt of your deposit, Neon Compass will issue a written confirmation of your booking. You must review the confirmation and report any errors or incomplete information to Neon Compass immediately at hello@neoncompasslife.com.
Age Eligibility: You must be at least 18 years of age to make a booking, unless accompanied by a parent or legal guardian. You agree to provide accurate and complete information, including names exactly as they appear on relevant identification or passports.
2. Booking on Behalf of Others
If you book a Retreat for others, you are the designated contact person and are responsible for: (a) ensuring all payments are made, (b) notifying Neon Compass of any changes or cancellations, and (c) keeping all participants informed.
You represent that you have obtained consent from all participants you book for, and you are responsible for ensuring their information is accurate and complete. Neon Compass is not liable for errors or omissions in information provided for other participants.
3. Health and Medical Information
You must disclose any medical conditions, injuries, or limitations that may affect your ability to participate safely in Retreat activities (e.g., yoga, movement, or other physical activities) at the time of booking.
You are responsible for consulting a physician to confirm your fitness for participation and for obtaining any necessary vaccinations or medical precautions. Neon Compass does not provide medical advice.
If you have a pre-existing medical condition that may impact your participation, pose a risk to others, or require access to medical facilities, you must inform Neon Compass at booking. Neon Compass reserves the right to request additional medical information or a physician’s clearance, and may deny participation if it determines, in its sole discretion, that your condition poses a safety risk to yourself or others.
Pregnancy is considered a medical condition and must be disclosed at booking. Neon Compass may refuse participation to individuals over 24 weeks pregnant or with conditions that cannot be reasonably accommodated.
You acknowledge that Retreats may involve travel to remote areas with limited or no access to medical facilities, and Neon Compass makes no representations about the availability or quality of medical services.
4. Emergency Medical Treatment
In the event of an emergency where you are incapacitated and unable to direct your own care, and no emergency contact is available, you authorize Neon Compass to arrange necessary medical treatment, including but not limited to X-rays, anesthesia, medical or surgical diagnosis, or hospital care, under the supervision of a licensed physician deemed competent. You agree to assume all costs associated with such treatment.
5. Special Requirements
You must disclose any special requirements (e.g., dietary restrictions, food allergies, or mobility limitations) at the time of booking. Neon Compass will make reasonable efforts to accommodate these requests, but cannot guarantee they will be met due to the nature of Retreat locations and itineraries. Neon Compass is not liable for any failure to accommodate special requirements.
6. Age Requirements
Participants must be at least 13 years old to participate in a Retreat. Minors (under 18) must be accompanied by a parent or legal guardian who is also a registered participant.
The accompanying adult is responsible for securing all necessary consents, documentation, and compliance with legal requirements for the minor’s travel. Neon Compass is not responsible for any costs or losses due to failure to secure such consents or documentation.
The accompanying adult is fully responsible for the behavior, well-being, and supervision of the minor(s), and agrees to these Terms on their behalf. Neon Compass does not provide chaperoning or supervision services for minors.
7. Travel & Insurance Requirements
International Retreats: You must obtain travel insurance with a minimum of $200,000 in medical, evacuation, and repatriation coverage for all applicable Retreat dates. Proof of insurance must be provided to Neon Compass prior to departure.
Regional & Weekend Retreats: Comprehensive travel, medical, and trip-cancellation insurance is strongly recommended for all participants, but non-emergency medical evacuation coverage is not mandatory unless specified in your retreat destination details.
General: Retreat fees do not include insurance, and you must obtain any desired or required coverage at your own expense.
8. Pricing and Payments
Retreat prices are inclusive of applicable taxes and will be confirmed at booking. Prices are subject to change until full payment is received.
Neon Compass may offer promotional pricing for new bookings, but existing bookings with a deposit are not eligible for such discounts.
Full payment is due by the date specified by Neon Compass (90 days for International; 45 days for Regional). If not received, Neon Compass may cancel the booking and retain the deposit as a cancellation fee.
Neon Compass is not responsible for fees charged by third parties or financial institutions for payment transactions.

10. Cancellation by Neon Compass
Neon Compass guarantees scheduled Retreat departures, subject to reasonable itinerary changes or health and safety concerns.
If Neon Compass cancels a Retreat for reasons other than Force Majeure (as defined below) or your fault/negligence, you may choose: (a) a substitute Retreat of equivalent or higher value; (b) a substitute Retreat of lower value, with a refund of the price difference; or (c) a full refund of all payments, including the deposit. Neon Compass may issue a full refund in lieu of these options at its discretion.
If a Retreat is canceled due to Force Majeure (e.g., acts of God, natural disasters, pandemics, government regulations, or other events beyond Neon Compass’s control), no refunds will be provided, but Neon Compass may, at its sole discretion, offer a credit for a future Retreat.
Neon Compass is not responsible for incidental expenses or losses (e.g., non-refundable travel costs, visas, or lost earnings) due to cancellation.
11. Travel Documents
You are responsible for obtaining and carrying all required travel documents, including a valid passport (valid for at least 6 months after the Retreat end date for international travel), visas, permits, vaccination certificates, and insurance policies.
You accept full responsibility for any costs or losses due to missing or defective documentation. Neon Compass does not provide advice on travel document requirements and is not liable for any errors or omissions in such information.
12. Itinerary Changes
Retreat itineraries, including routes, schedules, accommodations, and activities, are subject to change without notice due to unforeseen circumstances (e.g., weather, safety concerns, or operational needs). No refunds or discounts will be issued for such changes.
You are responsible for checking Neon Compass’s website or contacting Neon Compass at least 72 hours prior to departure for updated itinerary information.
You acknowledge that Retreats require flexibility and agree to accept reasonable alterations made by Neon Compass.
13. Assumption of Risk
You acknowledge that Retreat activities (e.g., yoga, movement, meditation, or travel) involve inherent risks, including but not limited to physical injury, illness, accidents, environmental hazards, or property damage. These risks may arise from your actions, others’ actions, or conditions of the premises or equipment.
You knowingly assume all risks, whether known or unknown, even if arising from the negligence of Neon Compass, its owners, employees, instructors, agents, or affiliates (collectively, "Neon Compass Parties").
You agree to comply with all applicable laws and Neon Compass instructions. If Neon Compass determines that your behavior poses a danger or disruption, it may terminate your participation without refund, and you will be responsible for any associated costs.
14. Third-Party Suppliers
Neon Compass contracts with third-party suppliers (e.g., accommodations, transportation, or activity providers) to provide Retreat components. These suppliers operate under their own terms and conditions, and Neon Compass is not responsible for their acts, omissions, or compliance with local laws.
Neon Compass is not liable for any inconvenience, loss of enjoyment, or damages resulting from third-party supplier actions or failures.
15. Optional Activities
Any activities, transportation, or services not explicitly included in the Retreat itinerary or price are considered optional and are arranged at your request. Neon Compass makes no warranties and disclaims liability for any losses, injuries, or damages arising from participation in optional activities.
16. Personal Property
Neon Compass is not responsible for any loss, theft, or damage to your personal property during the Retreat, whether on-site or at off-site locations.
17. Use of Images
You grant Neon Compass a perpetual, royalty-free, worldwide license to use your image, likeness, or voice in photographs, videos, or recordings taken during the Retreat for promotional, marketing, or advertising purposes in any medium. No compensation will be provided. If you do not wish to have your image used, you must notify Neon Compass in writing at hello@neoncompasslife.com prior to the Retreat start date.
18. Force Majeure
Neon Compass is not liable for any death, injury, illness, damage, delay, or financial loss caused by events beyond its control, including but not limited to acts of God, natural disasters, pandemics, government regulations, war, terrorism, strikes, or health threats, collectively referred to as "Force Majeure." No refunds will be provided in such cases, though Neon Compass may offer a credit at its discretion.
19. Privacy Policy
Neon Compass collects personal information (e.g., name, contact details, passport information, medical information) to facilitate Retreat bookings and services. This information may be shared with third-party suppliers as needed to deliver the Retreat.
Neon Compass maintains reasonable safeguards to protect your information. For full details, refer to Neon Compass’s Privacy Policy or contact hello@neoncompasslife.com.
20. Governing Law and Venue
These Terms are governed by the laws of the State of Idaho. Any legal action arising from these Terms or your participation in the Retreat shall be brought exclusively in the courts of Ada County, Idaho.
21. Arbitration and Class Action Waiver
Any disputes arising from these Terms or your participation in the Retreat shall be resolved through binding arbitration in Ada County, Idaho, under the rules of the American Arbitration Association, rather than in court. You waive your right to participate in a class action lawsuit or class-wide arbitration against the Neon Compass Parties.
22. Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
23. Amendments
Neon Compass reserves the right to update these Terms at any time, with changes posted on its website ([www.neoncompasslife.com](https://www.neoncompasslife.com)). Amendments take effect 10 days after posting. You are responsible for reviewing the most current Terms before the Retreat.
24. Acknowledgment of Understanding
By placing your deposit and agreeing to these Terms, you acknowledge that you have read these Terms carefully and fully understand their contents, and that you are giving up substantial legal rights. You agree to these Terms freely and voluntarily. This document constitutes the entire agreement between the parties regarding the Retreat and supersedes any prior understandings.
